A practical checklist for food supply orders

Review product specifications, quantities, packaging and delivery responsibilities before confirming a food supply order.

Check the product details

Confirm the exact product, variety or type, size and grade where relevant. A product name alone may not fully describe the buyer’s expectations. Written specifications make it easier to compare the final quotation with the original enquiry.

Check quantities and packaging

Agree the total quantity and how that quantity will be packed. Unit weights, number of packages and pallet arrangements should be clear. Discuss labelling requirements and whether the packaging format suits your receiving and storage process.

Check dates and delivery planning

Confirm the expected preparation and delivery window. Review the destination, planned transport conditions and each party’s responsibilities. If your business has a fixed receiving schedule, communicate that before the shipment is planned.

Check documents and information

Discuss the shipment and product documents your business requires. Any requested certification should be confirmed for the specific product and order. Destination rules can differ, so buyers should verify their requirements through the relevant professional channels.

Check the written agreement

Review the agreed price, quantities, product details, delivery arrangements and payment terms together. Resolve any difference between the enquiry and final quotation before confirming the purchase. Keep a clear record that both sides can refer to during preparation and delivery.
